MINUTES OF PAST MEETINGS:

80 Volts Meeting Minutes

From February 5, 2008 Meeting

(Unapproved)

1.                  Call to Order: Meeting called to order at 7:20 PM.

 2.                  Approval of last minutes:

Minutes reviewed.  Minutes approved by Mary & seconded by Laurel.

3.                  Treasurer’s Report:

Laurel is resigning but will help do fundraising.  We have no treasurer

Taxes to be worked on in the next few weeks.

4.                  VIH:

Thank you to everyone that worked the event.  It was a success again.  & a special thank you to Rick and Amy Spero.

5.         Mardi Gras Dinner:

The emails to Terri have been very positive.

            Ticket sales were good.

The dessert auction, table serving & decorations, & auctions went very well.

Good Things from this year’s dinner:

It was a good time of year & good theme.

The facility was good & the entertainers were awesome.

            The food tasted good.

Salad and bread on tables early was a great idea and worked very well.

We were too low on chicken and too high on beef, and the food was a little early, but will be worked out next time.

The kitchen flow was good.  Thank you so much for all of your hard work!

The facility was good unless we outgrow it.

The dessert table was good, but could possibly be rearranged.

The Desserts auction goes too long.

Having “super bowl” the next day is great.

Don Marlett offered to do the auctioneering next year.

I need to work on the table layout process next year.  Set it up so that the kids are assigned a table, not necessarily to their parents’.  The table reservations must be set up ahead of time and firmed up if possible.

We need a drink station for the kids.

Next time just do 1 5-gallon keg of beer.

The “on the rocks” non-frozen margaritas worked best.

            We need smaller cups

Drinks sold best at 3 x $10.00.  The wine sold well.  & having the drink ticket sales tables worked well.

We need to do thank you’s or certificates for the people that donated $100 or more.

The silent auction baskets need to be wrapped in clear plastic have lights at the table drawing special attention to them.  We also need to have more people at the checkout table, as originally planned.  Thank you Melissa for all of your hard work.  I really appreciate how organized you were.

We need to have a pizza party for the servers and give cash prizes in cash for the most tips and best table decorations.  Table #1 had the most tips  &  Table 6 with Alex, Laura, Reyna, & Casey had the best decorations.

Overall it was a huge success and thank you to everyone that helped and worked so hard.  It will definitely be an event to have in the future.

6.         Golf tournament:

            We already have 10 baskets

We need corporate sponsors and hole sponsors.

We need to plan it for the spring on a Friday.

Annette Krey will help out but we have to run it.

Deer Ridge Golf Course is the location this year.

Corporate levels will be a 4-some, advertising, etc.

We also need hole sponsors.

Laurel will call corporate people to see if she can get some sponsors.

We have drafts of letters requesting sponsors.

Sue has a list of committees from last year.

Terri has to do a $1000 deposit this week if we are going to have this event.

Our cost will be $95 per person for the golf course.

Terri will talk to Annette Krey tomorrow.

7.         Other fundraising ideas:

Cookbook idea:  Laurel has samples and Michelle Campos will help – maybe in the fall.

            Maybe a 5k run?

Market Day – buy a booth?

Meeting adjourned at approximately 9:00 pm.
